Executive Assistant



The Executive Assistant provides superior service to both the internal and external customers. This position reports to the VP of Strategic Sourcing and is responsible for performing specific administrative responsibilities in connection with the daily operation of the department, by overseeing and handling general office functions to ensure office operates efficiently; generates specific reports and handles a variety of special projects as assigned, and may assist other members of the executive team as needed.
JOB DUTIES AND RESPONSIBILITIES: (The following statements are intended as general illustrations of the work in this job class and are not all-inclusive for specific positions.)



  • Provides superior customer service, positively effects interactions with customers and employees, and has the resiliency to deal with customers in all types of business conditions and the ability to work harmoniously with coworkers.

  • Answers, screens and directs all incoming calls, greets and directs visitors, maintains a calendar of meetings, appointments, etc.; makes travel arrangements, and appointments; composes and sends correspondence; completes expense reports; sorts and prioritizes mail and shipping operations and services; ensures effective preparation of materials, flow of information, and management of schedule to allow department to most efficiently utilize time for more relevant matters.

  • Manages the flow of invoicing for all projects under scope of responsibility and communicates with appropriate personnel to ensure payments are made in a timely manner.

  • Assists with the preparation of necessary presentations and reports for projects and/or department meetings.

  • Manages the office supply inventory, maintains office machines and cleanliness of the office common areas.

  • Maintains records and files for the office, the vendor database and files of vendor materials received Also maintains an accurate listing of departmental keys and other relative duties as assigned.

  • Ability to work with various computer applications and programs.

  • Ability to review and comprehend all necessary documentation.

  • Ability to compose, type, and route correspondence, etc.

JOB REQUIREMENTS:


MINIMUM POSITION REQUIREMENTS:



  • Must be at 21 years of age

  • Possess a high school diploma or equivalent.

  • Must be able to effectively communicate in English orally and written.

  • Must be proficient in PowerPoint, Microsoft Word, Outlook and Excel.

  • Must be able to type 50 WPM.

  • Must have 2+ years previous experience booking on-line travel arrangements and completing expense reports.

  • 4+ years of experience working in an administrative capacity.

  • College degree preferred.


MINIMUM POSITION REQUIREMENTS:

  • Ability to perform basic mathematical functions.

  • Ability to read and interpret documents such as safety rules and procedure manuals.

  • Ability to effectively communicate with employees, management and external contacts.

  • Excellent telephone etiquette and customer service skills.

  • Proven ability to work well independently with minimal supervision.

  • Experience with supporting an executive that frequently travels globally.

  • Ability to work collaboratively with other administrative assistants to achieve a common goal.

  • Ability to perform multiple tasks under strict time constraints.

  • Ability to initiate, follow-up on and complete special projects as assigned.

  • Requires excellent organizational skills and sensitivity with confidential information.
