Responsible for the coordination and completion of projects across various functional areas. Typically, employees in this function are working towards or have achieved certification in project management. Provides subject matter expertise in areas including project scope definition, risk identification, project methodology, resource allocation, facilitation, and other areas of expertise based on established project management techniques. Makes presentations to management on project updates, project cycle, and expected results. Ensures projects are completed on time and in scope. May manage vendor and service providers to define project scope and performance expectations. Incumbents maybe part of a project management office (PMO) in their business. Project Management roles specific to a particular functional area should be assigned to that family where appropriate.Primary Responsibilities:


Direct support including coordination, planning and preparation of documents and all related logistics for meetings which may include internal and external participants, senior level executives and offsite or remote locations. Overall project management for recurring meetings including agenda, communication, confirmation of participants etc.;

Travel and expense management to ensure that all travel arrangements. Ensure that all expenses are completed within corporate policies and that delinquency and/or late fees are not incurred;

Scheduling and coordinating calendars, phone triage and other administrative support;

Project-specific leadership and support, including project management; development of marketing collateral; support for enterprisewide events like Innovation Day; creation of employee tools; etc;

Will handle confidential and highly sensitive information;

Technically proficient in all office programs;

Experience and demonstrated proficiency with expense and travel management systems, preferably concurrently;

Demonstrated ability to support 4 senior level managers, prioritize work effectively and manage multiple priorities;

High emotional intelligence and ability to work with different management styles;

Flexible;

Ability to adapt to change especially changes in process and/or systems;

Handle confidential information;

Extensive work experience within own function;

Work is frequently completed without established procedures;

Works independently;

May act as a resource for others;

May coordinate other's activities.


Qualifications:


Requirements:


Bachelor's Degree;

1+ year Project Coordinating or Administrative Assistant experience;

2+ years experience in a support role for Executive level management;

2+ years experience with tracking, planning projects, working with large data sets and making data-driven analytical decisions;

MS PowerPoint proficiency, including customizing presentations (themes, templates, bullets & graphics and enhancing the presentation with multimedia content;

MS Word proficiency, including creating a mail merge & labels, adding form fields, sharing & securing documents (digital signatures, merging multiple versions), recording & running macros, and customizing Quick Access Toolbar, footnotes, end notes & captions;

MS Excel proficiency, including V-Lookups, analyzing data using pivot tables & pivot charts, and managing themes & templates;

Demonstrated ability to communicate ideas clearly and concisely.
